Replace an item

  1. Under Docs, Items, open the item and tap the replace icon (Replace).
  2. Add a photo of the new item or a Product link. At least one of the two is required.
  3. Optionally enter the Price, a New name and a Note.
  4. Tap Replace if you can replace directly, otherwise tap Request approval.

Replacing items needs an activated property.

Who needs approval

  • Landlords, and people on owned homes, replace items directly. The item is updated at once.
  • Tenants and agents send a request. The landlord sees it in the Replacements card at the top of Items and taps Approve or Reject.

You can cancel your own pending request. A new request for the same item replaces the earlier one. When a replacement is applied, the item gets the new name if you gave one, its condition is set to New and the new photo is added in front. The change is recorded on the Timeline, and the requester gets an email with the decision.

Deduct it from rent

When a tenant or agent requests a replacement and enters a price, a Deduct from rent switch appears. Turn it on if the cost should come off the rent.

Once the landlord approves, the price is deducted from your unpaid rent bills due on or after the approval date. If the price is more than one month's rent, it is spread across the next bills until it is used up. Open a rent bill to see the Rent line followed by each deduction and the net amount to pay. The other tenants on the property get a Rent deduction email.

Deductions only apply to unpaid rent bills. Rent that was already paid is not changed.
